Rental Agreement

Sample rental terms. The complete, executable rental agreement is provided electronically before booking confirmation. No payment is collected until the agreement has been reviewed and signed by both parties.
1. Parties
This Rental Agreement is between Crown Exotic Cars LLC, a North Carolina limited liability company based in Charlotte, NC, and the approved renter identified in the reservation confirmation. This Agreement becomes binding once Crown provides written reservation approval and the Renter signs electronically prior to vehicle release.
2. Vehicle and Condition
Crown delivers the rental vehicle in clean, detailed condition with a full tank of the required fuel grade. A pre-delivery inspection is completed and documented with photographs before every rental. The Renter accepts responsibility for any damage or condition changes not recorded on the pre-delivery inspection report.
3. Authorized Drivers
Only the Renter named in the reservation confirmation may operate the vehicle. Additional drivers must be pre-approved by Crown in writing before the rental begins. All drivers must hold a valid driver's license, meet Crown's age requirements, and provide proof of insurance that meets Crown's requirements. Unauthorized drivers may void this Agreement and result in charges permitted by the Agreement.
4. Mileage and Fuel
Each rental includes a daily mileage allowance as confirmed in the reservation and listed on each vehicle page. Mileage limits vary by vehicle — 75 to 100 miles per day are included. Additional miles are $3–$10 per mile depending on the vehicle. See individual vehicle pages for exact limits. Mileage overages are billed at the per-mile rate confirmed before reservation approval. The vehicle must be returned with the same fuel level and fuel grade as at delivery. A vehicle returned below the delivery fuel level is billed as a $150 refueling service fee plus the cost of fuel at the local pump rate for the required grade.
5. Vehicle Condition on Return
The vehicle must be returned in the condition documented at delivery, less normal wear. Smoking and vaping are prohibited in all Crown vehicles; evidence of either is assessed a flat $500 remediation fee covering ozone treatment and interior detailing. Cleaning beyond a standard detail — including pet hair, spills, staining, or biological soiling — is billed at the actual cost of remediation, itemized and supported by photographs. Crown documents the vehicle with photographs at return, and any amount assessed under this section is itemized against the pre-delivery inspection record.
6. Return Time and Late Return
The vehicle must be returned at the date and time stated in the reservation confirmation. A vehicle returned within 30 minutes of the scheduled return time is not charged a late fee. After that, late return is billed at $125 per started hour, with no proration. Once a return is 2 hours 30 minutes or more past the scheduled time, the accumulated hourly amounts are replaced by a single Late Return Daily Rate as stated in the signed Rental Summary — never charged in addition to them. The grace period waives the first late fee only; it does not extend the rental, and paying a late fee does not authorize continued possession. Late return does not extend the included mileage allowance. Possession after the scheduled return time is unauthorized unless Crown approves an extension in writing, and Crown reserves the right to demand immediate return of the vehicle and to pursue any lawful means of recovering it.
7. Insurance Requirements
Renter must provide proof of insurance that meets Crown's requirements for the selected vehicle and rental period. Crown verifies proof of coverage before releasing the vehicle. Renter remains personally liable for any damage, loss, or third-party claims not covered by the applicable policy.
8. Security Authorization and Card on File
A security authorization may be placed on a valid credit card prior to vehicle release. The authorization amount is confirmed in the reservation and varies by vehicle. Crown initiates release after return and inspection; the card issuer controls when the available credit is restored. Renter authorizes Crown to retain the payment method used for the authorization and to charge it for amounts owed under this Agreement — including mileage overages, fuel, condition and cleaning charges, citations, and damage — where the authorization has been released, has expired, or is insufficient to cover the amount owed. Every such charge is itemized in writing against the documented inspection record before it is made.
9. Prohibited Uses
The vehicle may not be used for: racing, drag racing, or any speed event; burnouts, drifting, or aggressive launch-control use; commercial or for-hire transportation; any illegal activity; operation outside the approved area without prior written approval; or by any unauthorized driver. Violation of this section may void the Agreement, result in charges permitted by the Agreement, and authorize Crown to retrieve the vehicle.
10. Liability and Damage
Renter is responsible for all damage to the vehicle during the rental period that is not covered by their insurance policy. Crown documents all damage with photography and provides an itemized claim within 10 business days of vehicle return. Crown reserves the right to charge the Renter's card on file for any unpaid damage claims.
11. Cancellations
The reservation retainer is refundable when the Renter cancels at least 14 calendar days before the scheduled pickup date. Within 14 days of pickup, the retainer is nonrefundable but may be transferred one time to another available date or vehicle with Crown's written approval. If Crown cancels the reservation, the retainer is refunded in full. The written quote and signed reservation documents control if they provide more specific terms.
12. Governing Law
This Agreement is governed by the laws of the State of North Carolina. Disputes arising under this Agreement shall be resolved in the courts of Mecklenburg County, NC.
